EXPO REGISTRATION |
Exhibitors should fill the Expo Registration Form available in IAOM-MEA website for booking their expo space/booth. It is mandatory that each exhibitor/participant MUST register online to get their exhibitor/guest/spouse badges. The furnished expo form should be send to expo@iaom-mea.com as stated in the Expo Registration Form. Registered Exhibitors (maximum of two persons only per company per stand for the first booth) regardless of IAOM member or Non-member will be entitled for Conference benefits as specified in the conference registration menu. Joint companies will be treated/listed as one company. IAOM-MEA reserves the right to release booking of your confirmed booth if full payment is not received as stated in the invoice. |
BOOTH ALLOCATION |
It is tradition of IAOM-MEA that we consider exhibitors on First Come First Serve Basis which entitles the main sponsors of the event to obtain the booths at the prime locations of expo hall. The priority for stands in the front area, corner stands and the stands around the coffee station area will be given to sponsors and exhibitors who hires more than 18/36sqm space. Companies sharing minimum exhibit area of 9m2/more is forbidden. Officially registered company will be considered and listed under exhibitors list. Sharing/Subletting of confirmed expo stand/s with other company(s) is against IAOM-MEA policy and it is forbidden. |
COMPLIMENTARY REGISTRATION POLICY |
2 (Two) Complimentary entries for 9m2 expo stand and 1 (One) complimentary entry for each additional space of 9m2. |
EXPO FLOOR PLAN |
The expo floor plan is available online for selection of your desired stand which is subject to availability. IAOM-MEA reserves the right to modify the floor-plan as necessary to meet the needs of exhibitors on very exceptional cases and if the demand is high. |
CANCELLATION |
It is understood between the IAOM-MEA and the exhibitor that the space contract must be cancelled in writing on or before 31st August 2016. 100% Cancellation fee will be levied if any cancellation request received after 1st of September 2016. |
EXPO STAND SETUP |
EXHIBITORS WILL BE ALLOWED TO ACCESS THE EXPO HALL TO SET/DRESS UP THEIR EXPO STANDS FROM 10:00 Hrs TO 18:00 ON THE 24th October 2016. Exhibitors are requested to be ready at 8:00AM on 25th October 2016 for final inspection prior official opening of the Conference and Expo. |
FLOOR WEIGHT TOLERANCE |

HEIGHT RESTRICTION |
Custom made stand/booth height should NOT exceed more than 4mtrs max. |
EXHIBIT CARGO NOTIFICATION |
Exhibitor shipping heavy machines should notify the cargo dimension to IAOM-MEA - Expo Manager. |
DISMANTLING of BOOTHS |
Dismantling of expo stands and removal of exhibit materials/ equipments is permitted from 12:00pm onwards on 27th October 2016. |
RE-EXPORT and REMOVAL of EXHIBITS |
The exhibitor should hand over all expo materials for re-export to IAOM-MEA’s official freight forwarding company/ representative at site by 12pm on 27th OCTOBER 2016. |
INSURANCE |
Exhibitor should ensure their own exhibits (machineries/equipments) and display materials are insured. Exhibitors should obtain Public Liability Insurance combined single limit or bodily injury, accident and property damage combined per incident. |
SMOKING |
Smoking is strictly prohibited within the Millennium Hall. |
OPERATION RESTRICTIONS |
Exhibitors must confine their activities to their contracted space. Exhibitors will not be permitted to use strolling entertainment or to distribute samples or souvenirs except from their own booth. Exhibitors using music in their booth either live or mechanical must provide IAOM-MEA with a copy of Exhibitor’s licensing agreement. Further, should Exhibitor play music, Exhibitor agrees to indemnify and hold IAOM-MEA harmless from any action brought against IAOM-MEA by Ethiopian licensing authority for playing of such music. Exhibitors must comply with all safety provisions as required by the expo hall facility and Addis Ababa fire brigade. |
PROMOTION RESTRICTION |
IT IS FORBIDDEN TO DISTRIBUTE OR PLACE PROMOTIONAL LEAFLETS/PRODUCT BROCHURES, PROMOTIONAL MATERIALS IN OTHER BOOTHS/TABLES LOCATED AROUND THE CONFERENCE AND EXPO AREAS, CORRIDORS AND COFFEE STATIONS ETC. ** |
EXPO REGULATIONS |
IAOM-MEA Expo registration badge must be worn by all participants entering the Expo. The admission to the expo hall is restricted to the conference and expo participants only. The expo hall is guarded 24hours. During the expo hours the security guards at the expo entrances will be monitoring participant’s badges. The exhibitors will be allowed to access the expo area only from 8:00 am to 4pm and entry after closure of expo will be strictly prohibited. |
LOSS, DAMAGE AND INJURY |
IAOM-MEA organizers are not responsible for any injury, loss or damage that may occur to the Exhibitor’s employees or property from any cause whatsoever. IAOM-MEA is not liable for any injury, loss or damage which may be sustained by any person who may be on the premises leased or rented to the Exhibitor or watching, observing or participating in any demonstration or exhibit of Exhibitors. If IAOM-MEA should be held liable for Exhibitor’s action or failure to act in any matter whatsoever, the Exhibitor shall reimburse IAOM-MEA for all expenses incurred including legal fees and hold IAOM-MEA harmless from any resulting liability. |
INDEMNIFICATION |
The exhibitor assumes the risk of all damage, loss costs and expenses and agrees to indemnify and hold blameless the International Association of Operative Millers, its officers, directors, agents and employees from and against any and all liability, damage, loss costs, attorney fees and expenses, which may be sustained by it, its officers, directors, agents or employees on account of any claim, suit or action made or brought against the International Association of Operative Millers its officers, agents or employees for the death of or injury to persons or destruction of property involving exhibitor sustained in connection with the leasing of exhibit space at the International Association of Operative Millers Annual Conference & Expo. |
