Expo Rules & Regulations

 Expo Registration

 

The exhibitors should register online and also should fill the Expo Registration Form available in IAOM-MEA website. The furnished expo form should be send to the email ID stated in the Expo Registration Form.

A final confirmation of your registration will be sent to you subject to receipt of your full payment.

Booth Allocation

It is tradition of IAOM-MEA to consider exhibitors on First Come First Serve Basis and that entitles the main sponsors of the event to obtain the stands at the prime locations of expo hall/marquee. The priority for corner stands and the stands in front of the coffee stations will be given to sponsors and exhibitors who hire minimum area of 18/36sqm.

The allocation of stands will be done solely on discretion of IAOM-MEA Office based on the availability. We also consider exhibitor’s continuous participation in the IAOM-MEA district.


 Complimentary Registration Policy

Each exhibitor who hires minimum expo space of 9m2 will be entitled for two (2) non-transferable complimentary entries and one (1) complimentary entry for each additional space of 9m2 hired.

THIS IS VALID ONLY FOR THE EMPLOYEES OF REGISTERED EXHIBITING COMPANY (NOT FOR SISTER CONCERNS).

No additional complimentary registrations will be issued. IAOM-MEA will provide booth staff exhibitor badges and the number of which is based on the total number of booths rented.


 Exhibitor Requirements

Each exhibitor must have an employee who a member is having good understanding of the International Association of Operative Millers Mideast and Africa.


 Expo Floor Plan

The expo floor plan is available online for selection of your desired stand which is subject to availability. IAOM-MEA reserves the right to modify the floor-plan as necessary to meet the needs of exhibitors on exceptional cases and if more demands for expo stands.

The IAOM-MEA Expo will be held in the custom made marquee/tent at the Movenpick Resort and Marine Spa, Sousse Town of Tunisia.

Cancellation

It is understood between the International Association of Operative Millers and the exhibitor that this space contract must be cancelled in writing on or before 30th September 2013. 100% cancellation fee will be charged if any cancellation request received after 1st of October 2013.


 Expo Stand Setup

EXHIBITORS WILL BE ALLOWED TO ACCESS THE EXPO MARQUEE TO SET/DRESS UP THEIR EXPO STANDS FROM 10:00 Hrs TO 18:00 ON THE 4TH & 5TH NOVEMBER 13.

Exhibitors are requested to be ready at 8:30AM on 6th November 2013 for final inspection prior official opening of the Expo.

Custom made expo stands should be done only through IAOM-MEA official stand contractor. IAOM-MEA will not entertain third party contractors working at Expo Marquee unless special permission is obtained from IAOM-MEA Expo manager.


Floor Weight Tolerance
Stand Height Restriction

The floor weight tolerance per 9sqm stand is 5 Tons (Max.)
Expo stand height restricted to 3mtrs maximum.


Dismantling of Booths

Dismantling of expo stands and removal of exhibit materials/ equipments is permitted from afternoon on 8th November 2013.

ALL EXHIBIT MATERIALS/EQUIPMENTS MUST BE REMOVED FROM EXPO MARQUEE LATEST 7PM ON 8TH NOVEMBER 2013. THE ORGANIZERS AND THEIR CONTRACTORS SHOULD NOT BE HELD RESPONSIBLE IF ANY EXHIBIT MATERIALS LEFT UNATTENDED/LOST.

IAOM-MEA RESERVES THE RIGHT TO IMPOSE FINE OF US$ 100/- ON ANY EXHIBITORS DISMANTLING OR LEAVING THEIR EXPO BOOTH UNATTENDED BEFORE THE FINAL DAY (8TH NOVEMBER 2013).


Re-export and removal of Exhibits

The exhibitor should hand over all expo materials for re-export to IAOM-MEA’s official freight forwarding company/representative at site by 12pm on 8th November 2013. 
The exhibitors should remove all their exhibits/equipments, valuable belongings from their expo stands before the end of the show.
IAOM-MEA organizers and their contractors should not be held responsible if any exhibits left unattended/lost.


 Operation Restrictions

Exhibitors must confine their activities to their contracted space. Exhibitors will not be permitted to use strolling entertainment or to distribute samples or souvenirs except from their own booth. Exhibitors using music in their booth either live or mechanical must provide IAOM-MEA with a copy of Exhibitor’s licensing agreement. Further, should Exhibitor play music, Exhibitor agrees to indemnify and hold IAOM-MEA harmless from any action brought against IAOM-MEA by Tunisian licensing authority for playing of such music. Exhibitors must comply with all safety provisions as required by the expo marquee facility and Tunisian fire brigade.

Exhibitor use of motorized equipment and forklifts is not permitted. The Expo Manager will control the access to the loading docks in order to provide a safe and orderly move-in/ move-out. No pets or animals are allowed into the IAOM-MEA Expo premises.

Each exhibitor must not erect any display materials which may block the view from the aisle of the adjoining booths except by special arrangement with IAOM-MEA Expo Manager. No display material may extend/overlay the boundaries of any booth or booths nor may any exhibitor employ or use such materials that will interfere with the operation and comfort of the adjoining exhibitors. Exhibitors taking full islands, if available, are not limited to height restrictions; however, branding/ hanging commercial signs from the exhibit hall ceiling are prohibited.


 Promotion Restriction

IT IS FORBIDDEN TO DISTRIBUTE OR PLACE PROMOTIONAL LEAFLETS/PRODUCT BROCHURES, PROMOTIONAL MATERIALS IN OTHER BOOTHS/TABLES LOCATED AROUND THE CONFERENCE AND EXPO AREAS, CORRIDORS AND COFFEE STATIONS ETC. **

SPONSORS ARE EXEMPTED FROM THE ABOVE AND ALLOWED TO DISTRIBUTE OR PLACE THEIR PROMOTIONAL MATERIALS WITHIN THE DESIGNATED AREA**

BREACHING THE RULES AND REGULATIONS STIPULATED HERE MAY RESULT IN IMMEDIATE REMOVAL FROM THE EXHIBITION HALL AND NO REFUND OF EXPO STAND/PARTICIPATION FEE WILL BE ENTERTAINED. IAOM-MEA RESERVES THE RIGHT TO BAN THE EXHIBITOR FROM PARTICIPATING/EXHIBITING IN THE FUTURE IAOM-MEA EVENTS DEPENDS ON THE VIOLATIONS MADE.


Insurance

Exhibitors shall insure their own exhibits (machineries/equipments) and display materials etc. Exhibitors shall carry Public Liability Insurance combined single limit or bodily injury, accident and property damage combined per incident.


Smoking

Smoking is strictly prohibited in the Expo Marquee and its surrounding area.


 Expo Regulations

IAOM-MEA Expo registration badge must be worn by all participants entering the Expo. The admission to the expo hall is restricted only to the conference and expo participants. The expo hall is guarded 24hours. During the expo hours the security guards at the expo entrances will be monitoring participant’s badges. The exhibitors will be allowed to access the expo area only from 8:00 am to 4pm and entry after closure of expo will be strictly prohibited.

Each exhibitor must not erect any display materials which may block the view from the aisle of the adjoining booths except by special arrangement with IAOM-MEA Expo Manager. No display material may extend over the boundaries of any booth or booths nor may any exhibitor employ or use such materials that will interfere with the operation and comfort of the adjoining exhibitors. Exhibitors taking full islands, if available, are not limited to height restrictions; however, hanging commercial signs from the exhibit hall ceiling is prohibited.

It is forbidden for IAOM Exhibitor, non-exhibitors and non-sponsors to distribute or place their informational or promotional materials in the booths or tables located around the expo /conference venue.


Breaching of the Rules and Regulations specified here may result in immediate removal from the exhibition hall and no refund of expo stand /participation fee will be entertained. IAOM-MEA reserves the right to ban the exhibitor from participating/exhibiting in future IAOM-MEA events/exhibitions based on the violations made.


 Loss, Damage and Injury

IAOM-MEA organizers are not responsible for any injury, loss or damage that may occur to the Exhibitor’s employees or property from any cause whatsoever. IAOM-MEA is not liable for any injury, loss or damage which may be sustained by any person who may be on the premises leased or rented to the Exhibitor or watching, observing or participating in any demonstration or exhibit of Exhibitors. If IAOM-MEA should be held liable for Exhibitor’s action or failure to act in any matter whatsoever, the Exhibitor shall reimburse IAOM-MEA for all expenses incurred including legal fees and hold IAOM-MEA harmless from any resulting liability.


Indemnification

The exhibitor assumes the risk of all damage, loss costs and expenses and agrees to indemnify and hold blameless the International Association of Operative Millers, its officers, directors, agents and employees from and against any and all liability, damage, loss costs, attorney fees and expenses, which may be sustained by it, its officers, directors, agents or employees on account of any claim, suit or action made or brought against the International Association of Operative Millers its officers, agents or employees for the death of or injury to persons or destruction of property involving exhibitor sustained in connection with the leasing of exhibit space at the International Association of Operative Millers Annual Conference & Expo.
